Review and Manage Work Invoices

Learn how ZMorning creates work invoices automatically, then filter records, update status and payment method, and download invoice PDFs.

How are work invoices created in ZMorning?

ZMorning creates invoices automatically after an employee's configured billing period closes and that period contains eligible tracked time. There is no manual Create Invoice action. In the manager view, shown as Client in ZMorning, open Invoices to review the result, update its status and payment method, or download its PDF.

Review and maintain invoice records

Invoices is available only in this view. The manager can review linked employees' invoice rows, update status and payment method, and download available PDFs.

Receive a generation notice

The manager's Invoices page is not available. After successful generation, ZMorning attempts to email invoice details to both the employee and manager addresses on record.

Understand automatic generation

  1. 1

    Configure employee billing

In Employees, confirm the hourly rate, currency symbol, and billing cycle for the linked employee.

  2. 2

    Record work under the employer

Automatically tracked and manual ten-minute slots can contribute. Manual time can be billed without task or project attribution.

  3. 3

    Let the billing period close

The generator waits until the complete configured period has ended. It does not invoice an open period early during its regular check.

  4. 4

    Wait for the automatic check

The current service schedule checks due periods every 24 hours. A newly closed period may therefore not appear immediately.

  5. 5

    Review the new Pending invoice

An eligible record starts as Pending and preserves its employee, period, billed hours, hourly rate, currency, and amount.

Pro

Read the automatic invoice status

The panel at the top of Invoices describes the latest service state for the current manager account.

Invoice automation is running
The service is currently scanning tracked work and closed billing periods.
New invoices generated
The latest completed check created one or more invoices for this manager account.
Automatic check completed
The check finished, but no new invoice was due. Existing open-period work remains available for a later check.
Automatic check pending
No completed check has been recorded since the invoice service most recently started.
Invoice automation needs attention
The check failed, or some work could not be invoiced because billing settings or existing invoice coverage require review.
Invoice automation is disabled
Scheduled checks are not running. Existing invoices remain available.

Find an invoice

The page initially uses the latest 30-day date window. Each filter change reloads the invoice list automatically.

From and To
Include invoices whose billing period overlaps the selected dates. This is not limited to the invoice row's displayed date.
Status
Show all statuses or limit rows to Paid, Pending, or Cancelled.
Search
Match the invoiced employee's name. The current placeholder mentions clients, but the stored search field is the employee name.
Ascending or Descending
Sort matching rows by employee name from A to Z or Z to A.
Latest First or Oldest First
Sort by the invoice date, which represents the applicable invoiced period endpoint for current generated records.

Read invoice summary cards

Total Invoiced

All included statuses

Adds the amounts of invoices whose periods overlap the selected dates.

Paid Amount

Paid status only

Adds included invoices currently marked Paid.

Pending and Due

The same current amount

Both cards currently add included invoices marked Pending; Due does not use a separate due date.

  • From and To change both summary cards and invoice rows.
  • Search, Status, and Sort change the table but do not change the summary cards.
  • Pro summary changes compare the selected range with the preceding range of equal length.
  • Free summaries show “No data last period” instead of a comparison percentage.

Update status and payment method

  1. 1

    Find the invoice row

Use the dates, status, employee search, sort, and pagination as needed.

  2. 2

    Select the three-dot action

The Update Invoice Status dialog opens for that invoice.

  3. 3

    Choose the new status

    Select Paid, Pending, or Cancelled.

  4. 4

Enter the payment method when applicable

Use a practical label such as Bank or PayPal rather than account credentials or sensitive payment details.

  5. 5

    Save and confirm

Select Save changes, then confirm the requested status update. The summary and current table page reload after success.

Download the invoice PDF

Select the download icon at the end of an invoice row. ZMorning generates an A4 PDF named from the invoice number, such as INV-0001.pdf.

Pro

Troubleshoot invoice review

No invoice appeared when tracking stopped
Stopping a session does not create an invoice. The complete billing period must close, and the next scheduled automatic check must run.
The status panel says no invoice is due
The work can belong to an open billing period, or the latest closed period may contain no uninvoiced tracked time.
The status panel needs attention
Review the employee's hourly rate and billing cycle. Older invoice coverage can also require review before another overlapping period is created.
An invoice appears outside the expected date search
The filters use billing-period overlap. Check the complete From and To period in the downloaded PDF.
Search does not find a manager or company name
The current search matches the invoiced employee's full name despite the page's client-oriented placeholder.
An older invoice cannot be updated or downloaded
Free accounts can manage only the latest five invoices. Upgrade to Pro to access older available history.

Common questions

Can I create an invoice manually?

No. The current invoice workflow is automatic. ZMorning checks closed billing periods on its configured schedule, currently every 24 hours, and creates a Pending invoice when eligible tracked time is due.

Why was no invoice created for a closed period?

The period may contain no tracked duration, the applicable hourly rate may be missing or zero, an existing invoice may already overlap the period, or the next scheduled check may not have run yet.

Who can use the Invoices page?

The page is available in the manager view, shown as Client in ZMorning. The employee view, shown as Employee in ZMorning, cannot open it, although ZMorning attempts to email both the employee and manager when an invoice is generated.

Why does invoice search match employees instead of clients?

Each invoice row represents one linked employee's tracked work. The current column label and placeholder use client wording, but the search query matches the employee's full name.

Is Due Amount different from Pending Amount?

Not in the current invoice summary. Both cards add invoices with Pending status; ZMorning does not calculate Due Amount from a separate due date.

Can I delete or send an invoice from the table?

No. The current row actions update status and payment method or download a PDF. There is no table action for deletion, manual sending, manual creation, or a separate invoice view.
