Projects & Tasks
Organize Work with Task Groups
Create and maintain workflow groups, move active tasks between them, and understand how groups differ from projects and completion status.
What is a task group?
A task group is a workflow section in My Task. Groups help you arrange active tasks into stages such as To Do, In Progress, Review, or Waiting. A task's group controls where it appears on the Board and List views; it does not determine the task's project or whether the task is complete.
Use groups for workflow, not project structure
Every task has a group and a selected project, but those values serve different purposes. Groups are shared workflow sections under the selected employer, so one group can contain tasks from several projects.
Task group
Where the task sits in the workflow
- Controls the task's section on the Board and List views.
- Has a name and top-border color.
- Changes when a task is dragged into another group.
- Does not control project hours or cost.
Project
Where the task's tracked work is reported
- Is selected inside the task editor.
- Connects task-linked time to a project summary.
- Contributes to project hours and calculated cost.
- Does not change when the task moves between groups.
Start with the default groups
A new manager setup creates To Do, In Progress, and Completed, together with sample tasks. You can rename, recolor, or replace these groups with stages that match your real process.
A useful starting point for work that is ready but has not begun.
A common stage for active work, though moving a task here does not start the desktop timer.
A starter group name only. Moving a task here does not mark it complete.
Choose Board or List view
Board and List are two presentations of the same active groups and tasks. Switching views does not copy, move, or otherwise change the work. ZMorning remembers the selected view for the signed-in account.
Board
Scan workflow columns
Each group appears as a horizontal column containing task cards. This view is useful for seeing task movement across stages.
List
Compare task details in rows
Each group appears as a section with task rows showing due date, priority, members, files, comments, and actions.
- Both views show incomplete tasks; completed work is kept in Completed Tasks.
- Groups are displayed in the order they were created.
- The group count shown on My Task counts the active tasks currently visible in that group.
- Adding or editing groups is available in both the manager view, shown as Client in ZMorning, and the employee view, shown as Employee in ZMorning.
- Group deletion is available only in the manager view, shown as Client in ZMorning.
Create, rename, or recolor a group
Create a group
-
1
Open My Task
Web app: My Task → Add New Group
You can create a group from either Board or List view.
-
2
Enter the group name
A name is required. Keep it short and specific enough to scan beside the other workflow stages.
-
3
Choose the top-border color
The color is a visual accent for the group. It does not set priority, status, or project.
-
4
Save the group
Select Save Group. The new empty group appears after the groups that were created earlier.
Rename or recolor a group
- Open the three-dot menu for the intended group.
- Select Edit Group.
- Change the name, top-border color, or both.
- Save and wait for My Task to refresh.
Move tasks between groups
Drag an active task into another group when its workflow stage changes. Dragging also updates the task's order among the other tasks in the destination group.
The active task appears in its existing workflow section.
ZMorning saves the destination group and the task's new position.
The task keeps its project, members, details, and completion status.
Delete a group safely
Group deletion is a manager-view action and is permanent in the current interface. There is no requirement to keep a final group, so review the group carefully before confirming deletion.
- Move every task you need to retain into another group.
- Open the group's three-dot menu and select Delete Group.
- Read the confirmation stating that the group and all its tasks will be deleted.
- Confirm, then verify the remaining groups and tasks.
Troubleshooting
A task disappeared after I marked it complete
This is expected. Completed tasks leave the main Board and List views. Open Completed Tasks to review or reopen it.
Moving to Completed did not complete the task
Completed is only the group's name. Use the task's completion control to change its actual status.
The group color did not change task priority
Group color is only a workflow accent. Priority is selected separately inside each task.
I cannot delete a group
Deletion is not available in the employee view. Switch to the manager view, shown as Client in ZMorning.
The group contains tasks from several projects
This is expected. Groups organize workflow across My Task; each task stores its selected project separately.
A reopened task returned to an unexpected group
Reopening preserves the task's existing group. Edit or drag the task after reopening if it belongs in another workflow stage.
Frequently asked questions
Is a task group part of one project?
Not in the current My Task workflow. Groups are shared workflow sections under the selected employer, and one group can contain tasks whose selected projects are different.
Does moving a task to a group named Completed complete it?
No. Moving changes only the task's group and order. Use the completion control to move the task out of the active Board and List views and into Completed Tasks.
What happens to a task's project when I move it to another group?
The selected project does not change. The task keeps its project, members, details, and completion status when it moves between groups.
Can an employee create or edit a task group?
Yes. The employee view, shown as Employee in ZMorning, exposes Add New Group and Edit Group, and the corresponding actions save under the selected employer. Group deletion is restricted to the manager view, shown as Client in ZMorning.
Why does the group count exclude some tasks?
The count on My Task reflects the active tasks shown in that group. Completed tasks retain their group but are displayed separately under Completed Tasks.
Can I restore a deleted task group?
No restore action is available in the current interface. Move every task you need to keep into another group before confirming deletion.
