Assign Tasks to Employees
Assign employees to tasks, manage assignment changes, and make the right work available in each employee's desktop task list for the correct employer.
How do I assign a task?
In the manager view, shown as Client in ZMorning, or the employee view, shown as Employee, open My Task and select the task. Under Members, select the plus button, find each employee by name or email, select their checkbox, and then select Save. A task can be assigned to more than one employee.
Understand what assignment controls
Assignment connects a task to the employees expected to work on it. It affects the desktop task list and task-related notifications, but it does not change the task's project, workflow group, or completion status.
Assignment does
Connect employees to trackable work
- Makes the task available in each assigned employee's desktop task list for this employer.
- Displays assigned-member avatars or names with the task in My Task.
- Sends a task-assignment email to each newly added member.
- Includes current assigned members in later task-comment notifications.
Assignment does not
Replace project or workflow settings
- Does not select or change the task's project.
- Does not move the task into another group.
- Does not mark the task complete or start the desktop timer.
- Does not make the task private on the shared web My Task page.
Assign one or more employees
-
1
Open the task
Web app: My Task → Board or List → Task
Select the task card in Board view or the task title in List view.
-
2
Open the member picker
Under Members, select the circular plus button. The picker lists employees currently linked to the selected employer.
-
3
Find the correct employee
Search by the employee's name or email when the list is long. Check the email before selecting people with similar names.
-
4
Select every responsible member
Select each checkbox. ZMorning supports multiple assigned members, and their avatars appear beside the plus button.
-
5
Save the task
Close the picker if needed, then select Save in the task editor. Assignment changes are applied only when the complete task is saved.
Remove or reassign members safely
The task editor saves the complete set of selected members. When you save, ZMorning replaces the task's earlier assignment set with the people who are currently selected.
Remove one member
Clear that employee from the selected set
- Select the employee's avatar under Members, or open the picker and clear their checkbox.
- Leave every member who should remain assigned selected.
- Select Save.
Reassign the work
Remove and add in the same edit
- Clear the previous member.
- Select the replacement member.
- Save, then ask the replacement member to refresh the desktop task list.
- Closing or cancelling the editor does not save assignment changes.
- A task may be saved with no assigned members.
- Removing a member does not delete the task or its previously recorded time.
- Unassignment does not send a notification email.
- Assigning that employee again in a later save treats the employee as newly assigned and sends a new assignment email.
Know when assignment emails are sent
After a task saves successfully, ZMorning attempts to email only the members who were newly added in that save. The message includes the task title, due date, priority, and a link to the task.
The newly selected employee receives an assignment email when an address is available.
A member who was already assigned does not receive the same assignment email on every task edit.
Removing a member updates the assignment record without sending a removal email.
Know who can assign tasks
The current task editor exposes the same member picker in both supported views for the selected employer.
Manager view
Assign any linked employee
The manager view, shown as Client in ZMorning, can add or remove any employee currently linked to the manager's team.
Employee view
Currently uses the same member list
The employee view, shown as Employee in ZMorning, can currently edit a task and add or remove linked employees from its Members field.
Make the assigned task available for tracking
The desktop app requests tasks assigned to the signed-in employee and filters them to the employer selected in the app. A task assigned under one employer does not appear while another employer is selected.
The employee is connected to the task in the web app.
The employee confirms the matching employer in the desktop app.
The desktop app loads the employee's current assigned-task list.
The chosen task is attached to the new tracking session.
Troubleshooting
An employee is missing from the picker
Confirm the person is currently linked under Team for this employer. The member picker does not list unrelated ZMorning accounts.
The employee is selected but the change disappeared
Reopen the task and assign the member again, then select Save. Closing or cancelling the editor does not persist the selection.
The task is missing from the desktop app
Confirm the saved assignment, select the correct employer in the desktop app, and use Refresh Task List.
The employee did not receive an email
Check that the employee was newly assigned and has the expected email address. The assignment may still be saved even if delivery fails.
An unassigned employee still sees the task on the web
This is expected in the current shared My Task view. Unassignment removes desktop task-list access; it does not make the web task private.
A completed task remains in the desktop list
The current desktop response includes assigned tasks regardless of completion. Unassign the employee if the task should no longer be selectable.
Frequently asked questions
Can I assign a task to more than one employee?
Yes. Select every responsible employee in the Members picker and save the task. Each selected employee receives the task in the desktop list for this employer.
Can an employee assign tasks to other employees?
Yes, in the current web workflow. The employee view, shown as Employee in ZMorning, can edit a task, and the Members picker lists the employees linked to the selected employer.
Does assigning a task make it private to those members?
No. Assignment controls desktop task-list availability and related notifications. The current web My Task page remains a shared employer-level view in both the manager view, shown as Client in ZMorning, and the employee view, shown as Employee in ZMorning.
When does ZMorning send a task-assignment email?
ZMorning attempts an email after a successful save for each member newly added in that save. Members who remain assigned do not receive the same assignment email on every edit, and removal does not send an email.
Does unassigning an employee delete their tracked time?
No. Unassignment removes the employee-to-task assignment. It does not delete the task or previously recorded time, and it does not remotely stop a desktop timer that is already running.
Why can an employee still select a completed task in the desktop app?
The current desktop task response uses assignment and employer but does not filter out completed tasks. Remove the assignment when completed work should no longer be selectable.
