Manage Employee Details
Update employee names and employer-specific details, understand account-wide fields, and use the Pro Employee Profile safely.
How do I update a team member's details?
In the manager view, shown as Client in ZMorning, open Employees, find the employee, and open the three-dot menu in the Actions column. Choose Edit, update the allowed fields, and select Update. The employee's email is intentionally disabled in this form.
Understand what each detail belongs to
An employee record combines account-wide information, employer-specific settings, and system-generated values. They do not all behave the same way.
Account-wide
Identity
- Name identifies the person across ZMorning.
- Email is the account sign-in address.
- Avatar belongs to the employee's own profile.
Employer-specific
Working relationship
- Designation
- Hourly rate and currency
- Billing cycle and weekly hours
- Task assignments and tracking settings
System-generated
Status and activity
- Pending or Active status
- Joined Date
- Last Active and working-time totals
- Completed and pending task counts
Find and understand the employee row
Web app: Manager view (Client) → Employees → Employee List
- Employee Name
- The account-wide full name. On Pro, select the name to open the detailed Employee Profile.
- The account email used for invitation and sign-in.
- Department
- The employee's designation for this employer. Despite the column label, there is no separate Department field in the edit form.
- Hourly Rate
- The current rate and currency for this employer relationship.
- Status
- Pending means the account email is not verified; Active means it is verified. It does not show whether the employee is tracking right now.
- Joined Date
- The date the person's ZMorning account was created, which may predate this employer relationship.
- Actions
- The three-dot menu containing Edit and Remove.
Edit employee details
-
1
Open the Edit form
In the employee's row, open the three-dot Actions menu and select Edit. ZMorning loads the current employer relationship into the form.
-
2
Update the name or designation
Edit First Name, Last Name, or Designation. Both name fields and the designation must contain a value before the form can be submitted.
The designation changes only for the current employer. It appears under Department in the Employee List.
-
3
Review the untouched contract fields
Before saving, confirm that hourly rate, currency, billing cycle, and weekly contract hours still show the intended values. Do not change them as part of a simple identity correction.
Those fields affect calculations and can close earlier unbilled work when changed. See Set Rates, Hours, and Billing Details before editing them.
-
4
Save the update
Select Update. After the success message, ZMorning refreshes the Employee List with the saved values.
Handle email and avatar changes correctly
Email address
The employee verifies the change
An active employee can open their own Profile, choose Change Email, request a verification code, and verify the new address. Managers cannot bypass that verification from the employee-edit form.
If an unactivated invitation was sent to the wrong address, remove the incorrect employer relationship and add the employee again with the correct email.
Profile avatar
The employee owns the profile image
The employee updates their avatar from their own profile. Managers can see the resulting image in the Employee List and Pro profile, but the employee-edit form has no avatar control.
When no usable avatar is available, ZMorning displays a letter-based initial instead.
Use the detailed Employee Profile
On an active Pro subscription, select the employee's name in the Employee List. This opens a read-only profile for review; it is not the editing screen.
Troubleshooting
The email field is disabled
This is expected. Email is an account identity, not an employer-only detail. The active employee must verify their own email change from Profile.
The Department value looks wrong
Edit the employee's Designation. That is the value displayed in the table's Department column.
The detailed profile will not open
Confirm you are in the manager view, shown as Client in ZMorning, and the employee is still linked to this employer. If an upgrade dialog appears, the current subscription does not include Pro employee profiles.
Productivity remains zero
The profile needs tracked time and weekly contract hours greater than zero to calculate a percentage. A zero value is not based on keyboard or mouse hit counts.
Frequently asked questions
Which employee details can a manager edit?
From the Employee List in the manager view, shown as Client in ZMorning, you can edit the employee's first and last name, designation, hourly rate, currency, billing cycle, and weekly contract hours. Email and profile avatar are not editable from this form.
Can I change an employee's email address?
Not from the employee-edit form. An active employee can change and verify their own account email from Profile. If a pending invitation used the wrong address, remove that employer relationship and add the correct email address.
Why does the Employee List say Department when the form says Designation?
They refer to the same employer-specific value. The edit form calls it Designation, while the Employee List displays that value under the Department column.
Why is the Joined Date earlier than the date I added the employee?
Joined Date currently shows when the person's ZMorning account was created. For an existing user linked to another employer, it can be earlier than the date you added that person to your team.
Why does clicking an employee's name show an upgrade message?
The detailed Employee Profile is a Pro feature. Free accounts can still review the Employee List and use its Edit action to maintain employee details.
