Set Rates, Hours, and Billing Details

Set hourly rates, currencies, billing cycles, and weekly contract hours while preserving the correct pricing for earlier tracked work.

Where do I set an employee's rate, hours, and billing cycle?

In the manager view, shown as Client in ZMorning, open Employees. Use the employee's three-dot Actions menu, choose Edit, and update Hourly Rate, Currency, Billing Cycle, or Weekly Contract Hours. Review existing unbilled work before selecting Update, because a contract change can create a closing invoice under the previous settings.

Understand the four contract fields

Hourly Rate
The money value applied to tracked duration. Enter a positive decimal amount, such as 12.50. An empty or zero rate is treated as unconfigured for automatic invoicing.
Currency
The symbol shown beside the rate and resulting amounts. Search by ISO code, currency name, or symbol, then select a result so the intended currency is saved.
Billing Cycle
The period ZMorning uses when deciding when tracked work is ready for an automatic employee invoice. It is separate from your own ZMorning subscription renewal period.
Weekly Contract Hours
The employee's expected weekly capacity, entered as a whole number from 0 through 168. It is used for productivity comparisons, not for calculating invoice amounts.

Know what affects money and productivity

The hourly rate and weekly hours serve different purposes. Changing one does not substitute for the other.

Billing amount
Tracked durationApplicable hourly rateAmount

ZMorning prices recorded time using the rate in effect when that work occurred. Money is rounded to two decimal places.

Weekly contract hours provide the expected-time baseline used by dashboard and employee-profile productivity calculations.

Compare employee billing cycles

Pro

A cycle must finish before scheduled invoice automation can create an invoice for that period. The next automation check then processes eligible tracked work.

Available on Free

Weekly

Uses consecutive seven-day periods, beginning from the first uninvoiced tracked day or the start of a new billing segment.

Pro

Daily

Closes tracked work one day at a time.

Pro

Monthly

Uses one-month periods; initial periods align to the calendar month.

Pro

Semiannual

Uses six-month periods; initial periods align to January–June or July–December.

Pro

Annually

Uses twelve-month periods; initial periods align to the calendar year.

Update rate, currency, cycle, or weekly hours

  1. 1

Review work that has not been invoiced

Check the employee's recent tracked work and existing invoices first. Decide whether the current settings are correct for everything recorded before this change.

  2. 2

    Open the employee's Edit form

Web app: Manager view (Client) → Employees → employee Actions → Edit

  3. 3

    Change only the intended fields

Enter the new rate, select a currency result, choose the required billing cycle, or enter weekly hours from 0 through 168. Recheck every contract value before continuing.

  4. 4

Select Update and verify the result

After the success message, reopen Edit or the Pro employee profile to confirm the saved values. Then check Work Invoice for any closing Pending invoice created by the change.

What happens when billing details change

ZMorning creates a boundary between the previous and new settings so a later rate does not rewrite earlier work.

Before UpdatePrevious settings

Earlier tracked work keeps its earlier rate, currency, and billing context.

At UpdateClose unbilled work

ZMorning can create one or more Pending invoices up to the exact change time.

After UpdateNew settings

New tracked work uses the updated contract values and cycle.

  • The change boundary is recorded for the current employer–employee relationship.
  • Changing weekly contract hours can also trigger the closing process, even though weekly hours do not price invoices.
  • Existing invoice periods are subtracted so ZMorning does not intentionally invoice the same covered time twice.
  • If an older invoice has unclear period coverage, ZMorning can reject the update until that invoice is reviewed.
  • When no positive earlier rate exists, earlier work remains unpriced instead of being charged at the new rate.

Troubleshooting

Only Weekly can be selected

The current employer is on Free. Daily, Monthly, Semiannual, and Annually require an active Pro subscription.

No invoice appears for tracked work

Confirm the hourly rate is positive, the work contains recorded time, and the billing period has finished. Scheduled automation does not invoice an open period.

Productivity is zero or unexpected

Confirm weekly contract hours are greater than zero and tracked time exists in the viewed period. Productivity is not calculated from the hourly rate or input-event counts.

The displayed currency is wrong

Open Edit, search for the intended ISO code, and select the matching result. Typing text without selecting a recognized currency can leave the stored currency empty.

A Pending invoice appeared after Update

This can be the closing invoice for earlier unbilled work under the previous contract settings. Review its period, hours, rate, currency, and amount.

The update was not saved

If ZMorning reports that invoice coverage needs review, inspect older invoice periods and billed hours before trying again. The rejected change does not partially update the employee.

Frequently asked questions

Do weekly contract hours change an employee's invoice amount?

No. Invoice amounts are based on tracked duration and the applicable hourly rate. Weekly contract hours are used as expected capacity for productivity calculations; they do not cap the timer or create billable hours.

Can a Free account use monthly or annual employee billing cycles?

No. Free accounts use the Weekly employee billing cycle. Daily, Monthly, Semiannual, and Annually are available with an active Pro subscription.

Does ZMorning convert money between currencies?

No. The selected currency supplies the symbol or label shown with rates and invoice amounts. ZMorning does not retrieve exchange rates or convert one currency into another.

Does changing the hourly rate recalculate earlier tracked work at the new rate?

No. ZMorning records when billing settings change and preserves the earlier rate for earlier work. Saving a change can create a closing Pending invoice for unbilled work under the previous settings.

Why did a Pending invoice appear when I changed weekly hours?

All four contract fields are saved as one billing assignment. A change to hourly rate, currency, billing cycle, or weekly contract hours can close earlier unbilled work before the updated values take effect.

Why was my billing change not saved?

ZMorning can stop the update when an older invoice has a missing period or billed-hour coverage that needs review. This prevents new charges from overlapping or mispricing existing invoice coverage.
